For the Schedule manager

You build and maintain rotations. Propose changes, shepherd approvals, and keep coverage honest.

With Manage schedules (or per-schedule edit/approve access) you own the shape of the rotation: who’s on, when, and how changes get reviewed.

When this applies

You’re a team lead or on-call coordinator responsible for one or more schedules, but you don’t necessarily manage people records or finances.

What to do

  1. Create the schedule and set required approvals, 24/7 coverage, and overlap flagging to match how your team works.
  2. Add participants (assignable people) and approvers. Keep required approvals ≤ approver count.
  3. Build coverage by drawing shifts or defining a rotation. Watch the advisory flags for gaps and overlaps — fix them if they’re unintended, leave them if they’re deliberate.
  4. On a 24/7 schedule, configure the daily coverage alert under Validation — a message, extra recipients, and whether everyone on call hears about a gap in the coming week.
  5. Set an escalation chain so the Now view and API show who to fall back to.
  6. Submit your edits as a proposal with a clear comment, then ping your approvers. Track decisions under Proposals.

If applying a proposal fails with “schedule changed — recreate”, someone else published in the meantime. Re-open the calendar, redo your edits against the current state, and propose again — there’s no auto-merge by design.
